An order tracking board for a plastics manufacturer, dashboard with sample data

Orders go through nine steps between enquiry and payment, and there was no shared view of where any of them stood. We designed a board with separate views for sales, the factory and the owner, quotes priced from the rate sheet that need the owner's approval, and alerts when an order sits too long.

  • Order status was split across the accounting software, Excel and people's memory.
  • Checking on an order meant phoning someone.
  • Prices depend on size, so quotes were re-typed and sometimes came out wrong.

What we designed

  • 01

    Board with three views

Sales, factory and accounts, and the owner each see their own part, built on the sheets they already use.

  • 02

    Quotes with owner approval

Pick the product, size and quantity and the price fills in. No quote goes to a customer until the owner approves it.

  • 03

    Stage alerts

Each stage notifies the person responsible. If an order hasn't moved in 24 hours, the founder hears about it. A summary goes out every evening.

  • 04

    Win-back reminders

A month after a purchase, past customers get a nudge to order again.

How it works

  1. 01Enquiry
  2. 02Quote
  3. 03Confirm
  4. 04Factory
  5. 05Production
  6. 06Dispatch
  7. 07Payment

Before

The founder kept track of every order personally and chased updates by phone.

After

Orders are tracked on the board, and the founder only gets involved when a decision is needed.
